A COMPLETED entry form. One form for each category (jewelry and painting are two categories)
5 PHOTOS representative of the work to be exhibited, including one of your display & the process. Photos will remain on file. If you participated in the last show, photos are not required unless you are displaying a new & different form of art/craft. If you participated in the last show, please indicate the booth space you were assigned if you wish that space again.
A STATEMENT in 25 words or less about your work and yourself for use in any potential advertising, if space is available.

1. A $25.00 entry fee, which will be returned to all accepted exhibiters.
2. A $275.00 single space fee or $440.00 double space fee. Food vendors: $300.00 for single space.*
Checks returned for any reason will be subject to a $20.00 handling fee and must be replaced with a money order.
Jury Process
Acceptance notifications will be mailed after the completion of jury process. The jury will determine eligibility based on quality and originality as demonstrated by photos submitted. Exhibitor’s information packets will be mailed after October 16th. Late applications will be considered, but will be juried and are subject to a $25.00 late fee.
Due to the large volume of vendors selling jewelry, no late applications will be accepted as space is limited. Additionally, criteria for acceptance of jewelry vendors will be based on how they plan to attract customers to their booth. Please provide an approximate number of customers you expect to bring to your booth and how.

Show Rules
Exhibitors must comply with all “Show Rules”. All items displayed must be original, creative works executed by the artist. Reproductions must be signed, limited editions. At least 50% of the artist’s work on display must be original. Only works representative of juried submissions may be displayed. Manufactured, imported or production-line works are not allowed. Should the committee deem your exhibit unacceptable, you will be asked to remove selected items or an entire exhibit at the committee’s discretion. All artists must personally attend his/her exhibit and be present during the entire two days of the show. Representatives may not attend in place of the artist.
The Rotary Club of Woodland Hills designates and reserves a twelve by ten foot lawn space for each participating ACFE exhibitor. However, a participant may purchase more than one space. Participants must provide their own awnings, tents, tables, chairs, easels, signs, and all other items needed for their display and must assume responsibility for monitoring said displays. *Food vendors must have a permit from the Health Department, provide their own electrical (quiet generator) and must name the Rotary Club of Woodland Hills as additional insured on their policy.
Exhibitors are encouraged to set up their displays on Friday after 2:00 pm and are permitted to leave their displays overnight OR setup at 6:00 am on Saturday morning. Security will begin Friday evening at 5:00 pm, until 6:00 am Saturday. Saturday security will begin at 5:00 pm until 7:00 am on Sunday. The show management cannot accept responsibility or liability for loss or damage to the exhibitor’s property at any time during the show.
After unloading display items, your vehicle must immediately be moved to the designated parking area in the parking structure on Califa Street, one half block east of the show site. Except for loading and unloading, exhibitors may not park on Vassar Street or Califa Street, which is reserved for YOUR customers. Violators will be asked to leave and will not be invited to future shows. Each exhibitor will receive 2 courtesy parking passes with their acceptance letter, to be used Saturday and Sunday. If you do not receive your pass, come to the Rotary Booth prior to removing your car from the parking structure. We are not responsible for reimbursing you for the parking. NO VEHICLES ARE ALLOWED ON THE GRASS! NO EXCEPTIONS!
Spaces are not guaranteed from year to year and space changes will not be allowed. Spaces may not be shared. No illegal substances or alcohol are allowed. Pets, radios and small children are not permitted in display spaces. There will be no refund or rain checks due to weather. Acceptance to the show constitutes agreement with exhibitor requirements as set forth in this prospectus. The Rotary Club of Woodland Hills and/or its members are not responsible for damage or theft during the show. Show hours will be from 10:00 am – 4:30 pm on both Saturday and Sunday.
Exhibitors must have their California Resale Permit and business license from the City of Los Angeles available for inspection and each is responsible for the collection of Sales Tax. Your resale number must be on the application or it will not be considered.
PARTICIPANTS ARE SOLELY RESPONSIBLE FOR ANY LOSS, DAMAGE, OR OTHER HARM TO THEIR PERSON AND PROPERTY AT ALL TIMES, INCLUDING TRAVEL TO AND FROM ACFE, SETTING-UP AND TAKING DOWN, SHOW DAYS AND THE TIME BETWEEN THEM. ALL PARTICIPANTS ARE SOLELY RESPONSIBLE FOR THEIR OWN LIABILITY INSURANCE.
